Privacy policy

Klaru records people’s voices to produce meeting transcripts and minutes, so we treat your information with care. This policy explains, in plain language, what we collect, how we use it, and the choices and rights you have. It is written to align with South Africa’s Protection of Personal Information Act (POPIA).
Who we are
Klaru provides software that captures in-person meetings and turns them into transcripts, summaries, decisions and action items. When your organisation uses Klaru, we process meeting information on your behalf as part of providing that service.
What we collect
- Account details you give us, such as your name and email address.
- Meeting audio captured by the devices in the room while recording is active.
- Transcripts, summaries, decisions and action items generated from that audio.
- Optional voiceprints, only if you choose to switch the feature on.
- Basic technical and usage information needed to run and secure the service.
Consent comes first
Nothing is captured until the host starts recording, and everyone present is asked to agree before a meeting is recorded. People joining as guests can take part without creating an account, and can decline to be recorded.
How we use your information
We use it to provide the service: to transcribe meetings, generate minutes and action items, let you search past meetings, and identify speakers where you have enabled that. We do not sell your information, and we do not use your recordings or transcripts to train public AI models.
Where your data is stored
Your recordings and transcripts are stored with South African data residency wherever possible, rather than being moved offshore by default. Some processing may rely on trusted service providers; where it does, we use providers bound by appropriate safeguards.
How long we keep it
You control retention. Your organisation can set how long recordings and transcripts are kept, and can delete an individual meeting, or all of its data, at any time. When data reaches the end of its retention period, it is removed.
Voiceprints and biometric data
Voiceprints (used to label who is speaking across meetings) are a form of biometric information. They are off by default, kept separately for each space, never shared between spaces, and can be erased on request. You can use Klaru fully without ever enabling them.
Sharing
Meeting records are visible to the people your organisation chooses, such as the people who were there and the members of the space where a meeting is shared. We share information with service providers only as needed to run the service, and when the law requires it.
Your rights under POPIA
You have the right to ask what personal information we hold about you, to have it corrected, and to request its deletion. You can also object to certain processing. To exercise any of these rights, contact us using the details below and we will respond within a reasonable time.
Security
We use access controls and tenant isolation so that each organisation’s data is kept separate, and we restrict who can see meeting content. No system is perfectly secure, but we work to protect your information against loss and unauthorised access.
Changes to this policy
We may update this policy as the product evolves. When we make material changes, we will update the date at the top and, where appropriate, let you know.
